HR integration guide

Organisations who use Hofy can integrate their HR system with the Hofy platform, making user onboarding fast and easy. Connecting your HR system is the quickest easiest way to import new hire information to help place orders.

[ACCORDION] Setting up your HR integration

To set up your HR integration, simply follow the steps on the platform to set up the integration. Some HR systems will require you to retrieve an API key and input it into the Hofy platform. Click here to see an example.

Once connected, it may take up to 24 hours for Hofy to fully sync with your HR system.

[ACCORDION] Setting up your HiBob integration

Create the Service User in your Hibob Account - In your HiBob settings, go to integrations and click Service Users. Create a new Service User (E.g. Hofy Service) and copy the Service User ID and Token for use later.

Create a Permission Group - Back in your settings, go to Accounts/Permission Groups and select Create Group. Name the group, then in the Group members section, choose “Select people by condition” option and then “Select people”.

In the “Select people by condition” pop-up, delete the existing condition. Click “Add Specific Employees”, find the Service User (Hofy Service) previously created in the dropdown menu, then click Apply. The group should look like this with just 1 member.

Finish the creation of the Group by selecting Create. If a pop-up appears, Confirm the creation of the group. Next, we need to give the Service User visibility of employee data to import into Hofy.
Under Settings/Account/Permission groups. Click on “Hofy Access”. Then click on 'People's data'

Edit the data that can be accessed by selecting “Edit permissions”

“Select people by condition” and select “Edit”. Select “Lifecycle Status” = “Employed, Hired, Terminated” and Apply.

Under People's Data add the following permissions for Hofy

Click Apply and Save. You should see a summary like the following. One member “Hofy Service” will get access to the 8 team members' information.

Link your Hibob account to Merge. Sign in using your Hibob Service User ID and Hibob Token.

[ACCORDION] Syncing your data

Once Hofy is integrated with your HR system, then any time you add a new user to your HR platform, they will automatically appear in your 'Pending import' queue in Hofy New users added to your HR system are automatically synced to Hofy approximately every 6 hours. You can also choose to manually sync your data at any time by going to HR Integration > Settings on the Hofy platform and selecting 'Sync HR data'.

Please note that once a user has been imported to Hofy, changes made to that user in your HR system will not automatically update that user's details in Hofy.

[ACCORDION] Importing users

Users won't be automatically onboarded to the Hofy platform. Instead, they will appear in your 'Pending import' queue. Select the users you'd like to import to the Hofy platform from this list, then click on 'Import team members to Hofy' at the bottom of the page.

[ACCORDION] Import rules - automating your new joiner process

If your organisation is on our Hofy Pro or Hofy Enterprise platform tiers, your Hofy managers can automate the new joiner process by using the 'Import rules' feature. You can create the conditions for how you’d like to automatically import users to Hofy.

Using the screenshot below as an example, you can choose to automatically add new members in your HR system's ‘Engineering’ team from the UK, USA and France to the ‘Engineering Spec’ team in Hofy.

You can configure this in HR Integration > Settings.

Please note if you wish to enforce SSO for users onboarded from HR integration, all users will need to sign in by typing in their username and creating a password first. Then the next time they log in, the SSO will be enforced.
