We have set defaults for your organization and you have until the 4th of September to change them. From the 5th of September, we will automatically use the settings for any contract decision from that point onwards.
Maximise your rental potential! Extend device rentals then refresh, return or purchase
Hofy allows you to automate the management of your end-of-rental contract decisions.
Instead of deciding one by one for each contract, you can simply head to your Settings in the bottom left corner within your name then > ‘Contract defaults’. To make any changes you need to have Finance permissions - if you don’t, please reach out to your other organisation’s Hofy Managers with 'Access' permissions.
[ACCORDION] How to view your ending rental contracts
You can view all contracts ending soon on the 'Contracts' tab under 'Rentals ending' and decide the best course of action for each item in just a few clicks.
Remember that there's already an applied date range within the upcoming calendar month, you can filter your contracts by any dates.
Setting your organisation's contract defaults for rental devices
Continue renting (optional)
You have the option to extend your rental contract if you wish to rent your equipment for longer. You still need to make a final decision for what happens after the extension period is over.
- This extended contract can be ended at any stage, free of charge.
- Your extended contract will default to our 36-month cost, which is our cheapest rental fee.
- The item will stay where it is currently and will continue benefiting from all of Hofy's services.
- Please note, you can extend a device contract up to 48 months
End of rental decision
Purchase
- You may want to purchase the contract from Hofy and own the asset going forward.
- For devices (laptops, tablets and mobile phones), the purchase fee is based on the age of the device or 9 times the 36 month cost on old terms. For accessories, the purchase fee is only £1/$1/€1.
- Once you purchase the equipment, it will stay with its assigned team member and Hofy will no longer own it nor provide any rental services - you can request services through your Asset Tracker in the 'Assets' tab (your organisation needs to have signed our new terms).
Return to Hofy
- You can end the rental contract for free and Hofy will collect the item at no extra cost.
- Hofy will reach out to team members at the end of the contract to organise a collection with them.
- Once it’s collected we will end the contract, you don’t need to do anything else.
Refresh
- Upgrade to the latest device, so that your team members are working on optimal devices for maximum productivity.
- When your device is approaching its end of service we send you a reminder to place an order for the latest model.
- Once you’ve placed the new order from the Assets tab and it’s been delivered, we’ll automatically organise a collection of the old device and end its contract.
Setting your organisation's contract defaults for rental accessories
If you've rented accessories in the past then your accessories have two options, purchase for only 1 GBP/EUR/USD each. You can also arrange for them to be returned to Hofy.
[ACCORDION] Overriding contract default settings on an individual contract
We understand there may be special cases or circumstances that don’t exactly fit your set defaults. You can go to ‘Contracts’ > ‘Ending rentals’ and pick a different option for a single contract instead of following defaults. However, any contracts ‘not specified’ will automatically follow your default setting. Please note overriding defaults will be released at the beginning of September along with default settings.
Any add on support packages will also be extended. Pricing depends on the device specification and will default to our cheapest 36 monthly rental fees.
Already extended contracts can be returned and then ended any time
By overriding your organisation's default contract setting on an expiring contract, the End of contract option will no longer read ‘not specified'. This means that when the contract expires, it will adhere to your chosen decision instead of your default setting.
[ACCORDION] Reminders
Set up reminders in your 'Profile' to receive notifications for any contracts expiring in the following month. You can enable email and/or in-app notifications for both devices and accessories.
We’ll send you automatic reminders on the 20th of each month for contracts which need to be reviewed.
