Connecting Deel and Expensify Profiles
Deel uses the email address to find a match between the Expensify and Deel profiles. Because most Deel accounts are linked to a personal email, while most Expensify accounts are associated with a work email, adding the work email to the Deel profile can facilitate this process.
If the Deel and Expensify accounts share the same email address, no action is required. Deel will automatically match the profiles when the company sets up the integration.
Ensure that the email address linked to the Expensify profile is entered correctly. Deel will send a confirmation email to the primary email address to validate the update
People Match Plugin
This plugin enhances the connection between Deel and Expensify by allowing users to quickly identify synced accounts and detect any unmatched profiles directly from the Expensify account dashboard. It provides a clear count of unmatched accounts for easy reference.
Clicking on "See who they are here" opens a side panel that displays a detailed list of individuals and the status of their accounts. Users have the option to refresh the list or use the "Review & Match" button to manually align profiles, ensuring a seamless integration between Deel and Expensify.
Frequently Asked Questions
[ACCORDION] How do to know if the company employees work for is using Expensify?
The administrator should alert employees if the company they perform work for is using Expensify to track and approve expenses. If a Deel profile has been matched to an Expensify profile, the user will be prompted to log expenses in Expensify. If the profile is unmatched, an alternate email address should be added to the profile to enable a match.
[ACCORDION] What are sync errors?
Sync errors can occur due to large file sizes or other matching issues. Users are notified of sync errors via email and a notification on the Deel platform.
Users can review these errors on the platform along with steps to resolve them.
[ACCORDION] How does expense synching work?
Only approved expenses are synced from Expensify to Deel. For an expense to sync, the profile in Expensify must be matched to the profile in Deel. Deel does not back-sync expenses at this time. Therefore, any expenses submitted and approved in Expensify before the profile is matched to Deel will not sync. Those expenses should be deleted and resubmitted in Expensify.
[ACCORDION] How often are expenses synched?
Expenses are synched periodically throughout the day. If the company has recently approved an expense in Expensify, please wait a few hours before verifying that it has been synched to Deel.
[ACCORDION] How to avoid syncing non-reimbursable expenses?
There's a new setting that allows users to disable the sync of expenses marked as Non-reimbursable in Expensify, ensuring that only relevant expenses are processed. Here's how to easily enable this feature:
✅ Step 1 - Open Expensify and head to the Plugins tab.
✅ Step 2 - Click on the "Manage" button, accessible for both Employer of Record (EOR) and Global Payroll (GP) configurations.
✅ Step 3 - Locate and toggle "Ignore Non-Reimbursable Expenses" on to enable the setting.
[ACCORDION] When will the expense be reimbursed?
For EOR employees, expenses approved and synced before the monthly payroll cut-off date will be reimbursed on their next payday. Any expenses approved and synced after the payroll cut-off date will be reimbursed on the following payday.
The payroll cut-off date can be viewed in the contract details from the Deel platform.
For Independent Contractors, expenses approved and synced before the end of their invoice period will be included with their next invoice for reimbursement by their client.
