Once a cycle is Active, the cycle dashboard is your main view for tracking reviewees, task completion, and deadlines. This article covers monitoring reviewees, resolving pending tasks, sending reminders, using cycle-level actions, and ending phases or the cycle. Use these tools to keep a cycle on schedule.
Before you begin
You must be:
- An admin with access to Engage > Reviews
- Working with an Active review cycle
Monitor reviewees
Step 1 – Open the cycle dashboard
- Go to the Active tab of the Review cycles table.
- Click the cycle name. The header shows the cycle name, active status badge, kick-off date, total reviewee count, and whether automations are enabled.
- Use the Reviewees and Manage cycle tabs, the Timeline, Insights, and End buttons, and the three-dot overflow menu.
Step 2 – Review the reviewees list
- Open the Reviewees tab to see each reviewee's final score, calibration status, and manager. The score shows as a number out of your configured scale, or "No feedback yet" if nothing was submitted.
- Filter the list with the options below.
- Click Change task owners to reassign review task ownership in bulk, for example when a manager leaves or changes role.
Reviewees filters
- Reviewee: Select specific individuals.
- Status: Complete (all tasks done), Incomplete (tasks pending), In progress (currently ongoing), or Scheduled (set for a future date).
- Score: Enter from and to values.
- Country: Select specific countries.
- Relationship: Select the relationship type, such as manager, and the relevant workers.
- Reporting level: Select "Your team" or "Extended team".
- Organization structures: Select the relevant department. Multiple org structures show independent dropdowns.
Step 3 – Open a reviewee's details
- Click a reviewee's name to open the side panel. One tab shows the reviewee's own tasks, with start date, due date, completion status, goals, and competencies. The other tab shows tasks requested for that reviewee.
- Click Send reminders at the top to notify all incomplete task owners for that person.
- Click View results at the bottom to open the full feedback summary.
Step 4 – Change a task
- Click the three-dot menu on a task.
- Select Revert to draft, change the start date, change the task deadline, change the task owner, or change the reviewee (for downward feedback).
Caution: Remove from cycle closes the reviewee's tasks. The reviewee no longer participates in this review.
Step 5 – Use the reviewee row menu
- Click the three-dot menu on a reviewee row.
- Select Details to open the full detail panel, or Remove from cycle to remove the reviewee.
- Select Refresh competency or Refresh goal to pull in an assignment made after launch. Tasks are generated at launch and do not update automatically.
Note: If the panel shows "No competencies added" or "No goals added", questions tied to those items do not appear in the review form. Assign them in the Goals and Career modules before you refresh.
Resolve pending tasks
A banner on the Reviewees tab reads "Some review tasks are pending creation". This happens for three reasons: a required reporting relationship is not assigned in Deel, the intended task owner's account is inactive, or the worker has not been granted Engage access.
Step 1 – Open the pending tasks screen
- Click Review pending tasks in the banner. The Tasks pending creation screen lists every affected reviewee and their number of pending tasks.
Step 2 – Find the cause
- Click the info icon next to the task count.
- Read the blocked task type and the root cause: "No relationship assigned", "Owner not active", or "No Engage access".
Step 3 – Resolve each row
- Click Add relationship when the worker has no manager or direct report. Set the relationship on the worker's profile, then return to create the task.
- Click Add workers when Engage access is not granted. Add the relevant people in Engage worker access settings.
- Click View inactive workers when the task owner's account is deactivated. Reactivate the account or reassign ownership to someone else.
Caution: Dismissing removes the pending state without creating the task. Dismiss only for reviewees who do not need that feedback type.
Step 4 – Dismiss tasks that are not needed
- Select reviewees individually, or click Bulk select all.
- Dismiss the selected tasks.
Track completion and send reminders
Step 1 – Open the Manage cycle tab
- Click Manage cycle to see overall task completion.
- Click the visualization selector to choose how the Task completion chart breaks down: Feedback type, Phase, Direct manager, or Department.
- Hover over a bar to see the raw task count, for example "7/9", and the completion percentage.
Step 2 – Read the task list
- Review each task owner's row: Tasks for, overall status, and one column per active task type, such as Select peers, Write downward feedback, Write peer feedback, Calibration, and Share feedback.
- Read each cell: a completion count such as 3/3 with a green checkmark, Not started, or Not applicable.
- Filter by Worker, Task (type and status), Country, Relationship, Reporting level, or Organization structures.
Step 3 – Send targeted reminders
- Click Send reminder to open the Remind modal.
- Check the task types to remind, or select All. Options depend on the cycle's active phases: Reviewee to nominate peers, Manager to approve peers, Reviewee to submit self review, Reviewee's manager to submit feedback, Reviewee's reports to submit feedback, Reviewee's peers to submit feedback, and Reviewee's manager to share feedback.
- Click Send reminders.
Step 4 – Use the task owner row menu
- Click the three-dot menu at the end of a row.
- Select Details to open the reviewee side panel, Revert to draft to revert selected tasks, or Change deadline to adjust the due date for that owner without affecting the rest of the cycle.
Use cycle-level actions
Step 1 – View the timeline
- Click Timeline in the cycle header to open a read-only Gantt chart of all phases, date ranges, and durations.

End phases and close the cycle
Caution: End entire cycle closes all active phases, marks the cycle complete, and closes all open tasks. It cannot be reversed. Use it only when the cycle is finished.
Step 1 – Open the End menu
- Click End in the cycle header. The dropdown options depend on the number of phases in your cycle.
Step 2 – Select what to end
- Select Calibration to end calibration early, lock in calibrated scores, and move the cycle forward.
- Select Writing phase to end the writing phase early when a results sharing step is configured.
- Select End entire cycle to close all phases and mark the cycle complete.
Frequently Asked Questions
Why does a reviewee's form not include a goal or competency I assigned after launch?
Tasks are generated at launch and do not update automatically. Use Refresh goal or Refresh competency to pull in the new assignment.
Can I remind only specific task owners about specific tasks?
Yes. Send reminder opens a Remind modal where you choose exactly which task types to remind, instead of sending a blanket notification.
What does Change deadline affect?
It adjusts the due date for that task owner only. The rest of the cycle is not affected.
Can I reverse ending the entire cycle?
No. End entire cycle closes all open tasks and cannot be reversed.
What does a bar tooltip in the Task completion chart show?
It shows the raw task count, for example "7/9", and the completion percentage. This helps you tell a team that is behind from a team with fewer tasks.
