Before You Begin
Ensure you have:
- Admin access to both your Greenhouse account and Deel account
- The ability to authorize OAuth applications in Greenhouse
- Access to Greenhouse's Dev Center to configure webhooks (Greenhouse administrator level)
Step 1: Start the Deel Integration in Greenhouse
- Log in to your Deel account as an Administrator
- Search for Greenhouse in the search bar.
- Click Connect in the Integration overview. A quick connection setup modal will open.
- Click Connect in Greenhouse. You'll be redirected to Greenhouse to authorize the connection.
Step 2: Authorize Deel to Access Your Greenhouse Account
You'll land on Greenhouse's OAuth authorization page.
The application will request access to:
- Candidates & Prospects (candidate and prospect profiles, attachments, notes, and sources)
- Applications (applications, pipeline stages, and rejections)
- Jobs & Openings (jobs, openings, job posts, and job boards)
- Offers & Compensation (offers and pay input data)
- Users & Permissions (user accounts, roles, emails, and job permissions)
- Organization Setup (departments, offices, custom fields, and templates)
- For organization-level setup (recommended): Check "Authorize using a service account" before clicking Authorize. This creates an org-level service account so your personal account isn't used for the integration.
- Click Authorize to proceed. You'll be redirected back to Deel.
Step 3: Create Webhooks in Greenhouse
Once authorized, you'll see the Create webhooks step in Deel's setup flow. Webhooks notify Deel when offers are created, updated, or deleted in Greenhouse.
You need to set up 3 types of Offer webhooks:
- Offer Created
- Offer Updated
- Offer Deleted
Copy Webhook Credentials from Deel
In the Deel Create webhooks page, you'll see:
- Endpoint URL — A unique webhook URL generated by Deel (looks like: https://hr.deel.training/webhooks/greenhouse/-rs8-JoGKlWBwvVF5T3G0)
- Secret key — A masked security key for authenticating webhook requests
Copy both values.
Create 3 Webhooks in Greenhouse Dev Center
Now log in to your Greenhouse account and navigate to Dev Center → Webhooks to create the webhooks that will send data to Deel.
- In the Create A New Webhook form:
- Name this webhook: Deel Offer created
- When: Select "Offer created" from the dropdown
- Export to → Endpoint URL: Paste the Deel Endpoint URL you copied above
- Secret key: Paste the Deel secret key you copied above
- Error recipient email: (optional) Your email for webhook failure notifications
- Associated Partner: Select Deel from the dropdown
- Under Advanced settings, check Authorize using a service account
- Click Create Webhook
- Repeat the process for the two other offer webhook types.
Step 4: Validate Webhooks
In Deel, after creating all 3 webhooks:
- Return to the Create webhooks page
- You'll see all three webhooks listed (Offer created, Offer updated, Offer deleted)
- Click Validate webhooks to confirm they've been properly registered
- Once validated, click Continue
Step 5: Configure Basic Settings
- On the Basic settings page, configure when candidates sync to Deel:
- Choose an offer status setting:
- When offer is marked as "Accepted" (default) - Syncs after candidate accepts offer
- When offer is sent - Syncs immediately when offer is sent
- Select your preferred timing and click Complete setup.
Step 6: Configure the Integration Plugin
Back in Deel, you'll see a success message: "Your Greenhouse integration is successfully set up. Now it's time to configure it!"
- Click OK to proceed
- Navigate to Plugins and settings under the Greenhouse integration card
- The Core Deel HRIS plugin will be listed and enabled by default
- Click Manage (or the plugin name) to open configuration options
In the plugin settings, you can customize:
- Offer status settings - Confirm your sync timing choice (default: "When offer marked as Accepted")
-
Integration mappings & configuration settings:
- Group information
- Job information (auto-mapped by default)
- Custom fields (add additional field mappings as needed)
- Exclusion rules (set exclusion logic for specific candidates)
Most fields map automatically. If you need to add custom mappings or sync exclusion rules, click Customize under each section.
Step 7: Verify Connection
- Return to the Greenhouse integration card in Deel
- Confirm the status shows Connected (green dot)
- Visit the Candidates tab to verify no errors
Your integration is now live. Offers created, updated, or deleted in Greenhouse will sync to Deel according to your configured offer status settings.
Troubleshooting
Webhooks show "Not validated":
- Ensure all 3 webhooks are created with the correct Endpoint URL and Secret key (must match exactly)
- Confirm you checked "Authorize using a service account" when creating each webhook
- Click "Validate webhooks" again after all three are created
Candidates not syncing:
- Check the offer status matches your configured sync timing (e.g., if set to "When offer marked as Accepted", ensure offers are accepted before syncing)
- Verify the "Core Deel HRIS" plugin is enabled and Deel is set as the Associated Partner in Greenhouse webhooks
- Use the candidates tab to see the status of candidates Deel received from Greenhouse
- Ensure first name, last name and personal email address are set on Greenhouse before importing the user in Deel
OAuth authorization failed:
- Ensure your Greenhouse user has admin permissions
- Try re-authorizing by clicking "Connect" again in the Greenhouse integration card
