While clients can easily onboard their workforce onto Deel HR using the Mass Import feature, there are sometimes errors in uploading CSV files and employment agreements.
In this article:
Tips for uploading exported data in CSV
Common Errors Uploading Employment Agreements
Mass Import process
With our Mass Import feature, you can easily onboard workers onto the platform using a CSV file upload. To get started, click Add People below the Home button, then click Mass Import on the Add New People page.
From there, you'll select the Worker Type (defaults to Direct Employee, more options to be added in future releases) and click Continue.
Next, fill in your Organization Details and then you can upload the CSV file.
Please use our Deel People Import Template to upload your employee data onto the platform. It is pre-formatted and includes all the necessary columns required by Deel HR.
You can download the template along with the sample from the Import People page.
If you experience any errors during the upload process, see CSV file troubleshooting for help with resolving common upload errors.
Once you've uploaded the CSV file successfully and there are no errors found in the upload, the file will go through data validation.
Once data validation has succeeded, the next step is to add Employment Agreements (EAs). This is an optional step in which you can select individual employees and upload their Employment Agreements. See Employment Agreements for details on adding EAs. Click Continue to move on to the next section.
Compliance & Extras is the next step in the upload process. From here, you can add identity verification, coworking, and background check for employees. Each service has its own cost per employee, which will be added to the total monthly cost for each entity it is added. Click Select Workers beside each service to add employees to that service. After adding the desired services to each employee, click Continue to move to the final step.
Note: If the Select Workers button is greyed out, this means there are no workers eligible for the service(es).
Finally, the Review and Upload section allows you to view a summary of the additional monthly costs incurred after completing the import.
Tips to ensure a successful CSV file upload:
✅ Step 1 - Format your CSV file correctly
The format of the CSV file must be correct for Deel HR to accept it. Before uploading, please ensure the following:
- The file is in CSV format.
- The columns are in the same order as in the sample file and the first row contains column headers.
- The column headers match the field names in Deel HR.
- Double-check that your CSV file is in line with Deel HR-specific data requirements to avoid confusion and errors. You may use the sample file as a reference.
✅ Step 2 - Check for errors in your CSV file
To avoid errors, double-check your CSV file for accuracy and ensure that all fields are populated with the correct data.
To avoid inconsistent data, ensure the data in the CSV file follows the Deel HR system's data format requirements above. You can use Microsoft Excel or Google Sheets to standardize the data format before importing.
Common errors include:
- Missing data
- Incorrect formatting
- Duplicate entries.
- Using special characters.
✅ Step 3 - Map your CSV file to Deel HR fields
As an example, if your CSV file has a column for Employee ID, you need to map it to the Employee Number field in Deel HR. This ensures the data is imported correctly and avoids any data mismatches.
✅ Step 4 - Review your CSV file before importing
Use the Review & Upload page to confirm the full list of employees that will be uploaded, as well as any costs associated with the upload. Once you're satisfied and ready to continue, check the box I confirm that I have reviewed and approve the imported data then click Upload.
Possible issues when uploading a CSV file
There are two stages of checking your CSV file for errors:
- At the Upload CSV stage, the file is checked for general errors (file size, incorrect format, empty CSV file, etc.) and column issues.
- If no errors were detected at the Upload CSV step, then you get to the Validate data step, where value errors are pointed out. This is where incorrect values are pointed out, meaning if a value doesn't meet the requirements stated on the template. For example, using South Korea instead of KR for Employee Nationality.
[ACCORDION] CSV file is too large
This is a common error when importing CSV files and could happen as a result of too many fields, records, columns, or rows. The max file size for a CSV upload is 10MB. The file must also have no more than 1,000 rows.
If your file is too large, you’ll see the following error message:
Solution: consider breaking the file into smaller files. This can help reduce the number of records or columns and optimize the import process.
[ACCORDION] Data doesn’t match
This can occur when columns don't match expected field names, field names are not on the first line or the complete absence of column names. This may also occur when the expected columns are in the wrong order or the required fields are missing.
Solution: ensure the expected field names and column order in the CSV file match the data format requirements mentioned above. You can also use data validation tools to check for matching errors and correct them before importing.
[ACCORDION] Duplicate data
This occurs when there are multiple records in the CSV file for the same employee.
Solution: Ensure the CSV file only contains one record per employee. You can also use data cleaning tools to detect and remove duplicate records before importing.
[ACCORDION] Incorrect values
A data validation error could occur with one or more fields in the CSV file because it does not conform to the expected format or data type.
Solution: review the CSV file and check for any formatting errors or inconsistencies in the data. Here are some steps you can take:
- Verify the data types: check if the data in each field is in the correct data type. For example, if a field is expecting a date, ensure that the data is formatted as a date and not as text.
- Check for missing data: ensure that there are no blank fields where data is expected. For example, group names, departments, etc cannot be created via import, they need to be created and filled in, in advance of import.
- Remove special characters: special characters like commas or quotes are not accepted in currency formatting, hence remove any special characters, that may be causing an issue.
- Double-check the data: review the data in the CSV file to check for incorrect column headers or unaccepted values and make sure it matches the data format required by the platform.
