This article explains how to automatically assign a worker to an IT Policy (including Default policy) using the Workflow Builder on Deel IT. This workflow action can be triggered from any HR update, such as a contract signed, a new joiner added to the organization, a worker is in country X, and more. This workflow action also allows you to choose whether you want this worker to join the IT Policy with or without a seat.
Setting up the Workflow
Go to Automation AI Workforce and click New workflow.
Select Custom workflow to start from scratch.
Select the trigger that fits your use case.
Select any HR trigger that suits your use case. For example, the trigger could be a new worker added to an organization or a worker who just signed their contract.
Create branches if needed.
Depending on your use case and if the triggers allow it, you can choose to create a branch configuration at this stage. One branch condition can lead to the Action to Assign to an IT Policy while the other branch condition can lead to sending an email/slack message.
Assign to IT Policy.
Choose the IT Policy in which the worker will be assigned from the drop-down menu and then choose if this worker should have a seat assigned to them or not when joining the IT Policy.
- Approve every seat yourself: Admins approve each seat assignment manually.
- Automatically assign available seats: Assigns available seats; requests admin to purchase manually if none exist.
- Handle everything automatically: Auto-assign available seats or auto-purchase new ones.
No seat will be assigned: Adds worker to IT policy without a seat.
Monitoring and Troubleshooting
The workflow triggers when a worker places an equipment order. If the worker fits the workflow's set conditions and is within IT Policy budget, their order will be auto-approved.
Check Workflow History to see every execution - which devices were processed, which branch they followed, and the result.
If a workflow fails, the workflow creator gets an email notification with the error details so they can handle it manually.
