Accessing and Understanding the Global Payroll Calendar
Within Deel, each payroll group has a payroll calendar that can be accessed through the entity’s Global Payroll tab, under the Payroll Group section.
By clicking View Payroll Calendar for the group, clients will see a monthly or yearly view
The calendar includes in one view the payroll milestones for every active payroll cycle:
- Start Date: The beginning of the payroll period (not editable).
- Payroll Submission: Deadline for clients to submit payroll adjustments (e.g., bonuses, benefits, net additions, time off).
- Payroll Publication: The period when Deel processes the submitted payroll report.
- Payroll Approval: Deadline for the client to approve the processed payroll package, including G2N Report and payslips.
- Funding Invoice: Date by which the payroll must be funded.
- Payment Receipt: Date when Deel receives the funds for the payroll package.
- Payslips Publication: Date when payslips are made available to employees.
- Employee Pay Date: Date when employees receive their payments.
- Timesheet Cutoff: Deadline by which all shifts (hours worked) must be submitted and approved by managers to be included in the current payroll cycle. Cutoff dates are only relevant to timesheet-based arrangements that require tracking the amount of time worked.
- Upload G2N: Date when the clients upload their G2N to Deel (only applicable to Payroll Connect clients).
Timesheet-Based Entities
For timesheet-based entities, where workers log and submit hours or shifts, the payroll process includes the Timesheet Cutoff Date.
The Timesheet Cutoff Date is the final deadline for managers to approve submitted shifts for a given payroll cycle. Any time tracked and approved by this date will be included in that cycle’s payroll processing.
In most cases, the cutoff date is 3 days after the end of the payroll cycle, unless a custom date has been configured.
This means:
- Workers may submit shifts up until the last day of the payroll cycle.
- Managers have a few days after the cycle ends to approve submitted shifts.
- Deel will export all approved data after the cutoff date for payroll processing.
- Employees are typically paid a few days after the cycle ends, depending on approval and processing time.
Example: If the payroll cycle runs from June 1 to June 30, and the cutoff is July 3, then workers must have their shifts submitted and approved by July 3 to be paid for them in early July.
Clients can customize the Timesheet Cutoff Date by downloading and editing the payroll calendar by following these steps:
- Go to the Payroll Calendar section and download the current payroll calendar file
- In the downloaded file, locate the column labeled Timesheet Cutoff Date and enter the desired cutoff dates for each payroll cycle
- Re-upload the updated file
If the option to re-upload the calendar is not available, please reach out to your CSM for assistance.
Editing the Payroll Calendar
By clicking Edit Payroll Calendar and on an event date, clients will have the option to edit it. They will be prompted to enter a new date and provide a reason for the change.
Some date changes may require approval from our team to ensure payroll compliance. If approval is not required, the payroll calendar will be updated automatically with the new date.
If approval is required, clients will be notified on the platform within 72 hours once the request has been approved or declined. If the request is declined, the reason for the decision will also be provided.
Bulk Editing Payroll Calendar Milestones
Bulk editing lets you update the same payroll calendar milestone across multiple cycles at once (for example, changing the pay day for every month), instead of editing each cycle individually.
Go to Edit payroll calendar
Click Open bulk edit
Choose what you want to update: Pay day, or Other milestones
Select the milestone you want to edit
Enter the new timing for the milestone
Choose when the change should take effect using Starts from
(Optional) Select Set final cycle to choose when the change should stop applying
Add a reason for change (optional)
Click Save
After saving, the updated milestone will be applied across the selected cycles.
Calendar Audit Log
Clients can view all payroll calendar changes through their Organization Settings by selecting the Audit Logs option, followed by the Payroll Calendar Logs option. From there, they will see all approved changes made to their payroll calendars, including when each change was approved, who approved it, the related entity, and the payroll group.
If denied, you will see it in the payroll calendar banner.
