Key Principles for Running Payroll Successfully
To ensure timely, accurate, and compliant payroll processing with Deel:
- Submit a complete Payroll Report by the end of business day on the Payroll Submission Date (cut-off), as indicated in your Payroll Calendar.
- Deel will deliver payroll outputs: Payslips, Payroll Reports, and payments (either via payment file or actual payment execution, depending on your initial configuration), by the Payroll Processing deadline listed on your calendar.
- Post-submission changes will only be processed in the next payroll cycle or require an on-demand payroll.
- Missed deadlines may affect the delivery of subsequent outputs. You can always track timelines in the Cycle View on your Deel dashboard.

- Salary updates, bonuses, PTO, commissions, pensions
- Expenses, deductions, and retroactive changes

Roles & Responsibilities
- Clients are responsible for timely submission of complete and accurate payroll data (including time off reports, if applicable).
- Deel is responsible for processing the data, conducting quality checks, and delivering outputs based on what has been submitted.

How to Submit Key Payroll Data
- New hires: Add them in the People tab as Direct Employees (Payroll) and include their relevant data in the Payroll Report.
- Terminations: Submit the termination via the People Tab. When submitting the monthly Payroll Report ensure that the desired severance pay and any other entitlements are reflected in the Payroll Report.
- Compliance documents: Documents which are required for compliance purposes and impact payroll need to be submitted via the Payroll Request Center. By doing so, the payroll manager will ensure the input (from the respective document) is considered for the payroll cycle.

Net bonuses: Deel processes bonuses as gross amounts by default. If a net amount is required, Deel will perform a gross-up calculation to cover applicable taxes and deductions, ensuring the employee receives the intended amount. To ensure an employee receives a net bonus on Deel (i.e., the post-tax take-home amount), you must:
- Add the net bonus to the Payroll Report, and
- Submit a ticket via the Payroll Request Center specifying details including the information that the amount is “net”.
- Please do so before the payroll submission deadline reaching.
- Please note that if you do not submit a ticket to the payroll request center reporting the amount as "net", the bonus may be treated as gross, and the employee will receive less than intended.
- Changes to the Payroll Calendar: Clients cannot make changes to the payroll calendar yet, to request changes to the payroll calendar please submit a request through the Payroll Request Center at least 5 business days before the next Payroll Submission Date.

Reporting PTO or worked hours : Hours worked and PTO/time off should be reported through correctly configured system integrations. Your customer success manager can support you to set those up if required.
- Hours Worked: These should be submitted via integration whenever possible. If integration isn't available, include them as a Time & Attendance (T&A) report in supporting documents.
- PTO (Paid Time Off): Report PTO via integration or data ingest. If those options are unavailable, include it as a Time Off report in other supporting documentation.

Reviewing Payroll Outputs
Once payroll has been submitted and processed, Payslips, General Ledgers, SEPA, ICP and G2N reports are accessible through:

Step 2 - On the Entities page, select the applicable entity and click on the Global Payroll tab

Select the Deliverables tab to view the outputs including G2N (Gross-to-Net) Reports.
Common Tasks and Fixes:
- For incorrect deductions or GL errors, submit corrections via the Payroll Request Center.
- If PTO or AVC data isn’t visible, confirm it was submitted properly in the Payroll Report. If needed, raise the issue via the Comms Center.
- If approvals are blocked, confirm all previous approvals are complete and clear your browser cache.
- For payslip download issues, check your browser settings and contact Deel Support if the issue persists.
Before the Payroll Cut-Off:
You can:
- Re-submit your Payroll Report.
- Flag corrections via the Payroll Request Center.
After the Cut-Off:
- Most changes will be processed in the next payroll cycle.
- For urgent cases, you may be eligible for an on-demand payroll, submit a request through the Payroll Request Center.
Special Scenarios: Onboarding, Offboarding, and Compliance
Onboarding
- Add employees via the People tab.
- Include all necessary banking and tax info.
- Upload country-specific documents via the Payroll Request Center.
Offboarding:
- Submit terminations early, ideally before the Payroll Submission Date.
- Include final pay, severance, and entitlements in the Payroll Report.
- If the termination is submitted late, Deel may only process corrections in the next cycle. Still notify Deel Support to meet country-specific reporting rules.
Country-Specific Compliance:
- Use the Payroll Request Center to submit local compliance forms (e.g., ZUS RCA).
- Clearly label the submission with the relevant country and employee.
Split or Complex Payments:
- Indicate payment splits in the Payroll Report.
- Confirm recurring instructions via the Comms Center.
