Deel now supports uploading PDFs, placing fields directly on documents, and collecting signatures within the platform.
With this, you can:
- Upload a PDF and place fields directly on the document
- Add signature and text input fields
- Collect signatures embedded within the document
- Send documents to internal and external signers
- Allow external users to sign via a guest page with OTP verification
- Access a complete audit trail
- Save documents as reusable templates
Uploading a PDF and Adding Fields
Step 1 - Add the document
Go to People > Documents > Custom Documents > Add document
Step 2 - Select the document type
Select the create my own document option, followed by Review and Sign as the action required. Choose who needs to sign the document and whether it is mandatory or not.
Step 3 - Set the delivery options
Step 4 - Add the document details
Select Upload a PDF. Upload your file and click Add fields.
In the editor, you can drag and drop fields onto the document. Fields can be placed anywhere on the document and resized.
Step 5 - Send a document for signing
Once all the signatories fields have been placed in the document, click Continue to review and send the document.
Signing Experience
Workers
- Receive a notification and task in Deel
- Open the document from their task list or profile
- Complete text fields
- Sign in the designated signature fields
Signatures are rendered directly on the document where the field was placed.
External signers
- Receive an email with a document link
- Enter a 6-digit OTP to open the document
- Complete required fields
- Enter a second 6-digit OTP to confirm signing
No Deel account is required.
Signed Document
After signing:
- Signatures and inputs are embedded in the document
- A detailed audit trail is appended as a final page
The audit trail includes:
- Timestamps (sent, opened, viewed, signed)
- IP address
- User agent
- OTP verification timestamps
This is shown in the completed document view.
Templates
After placing fields, you can save the document as a template.
- Templates retain field placement
- They can be reused without reconfiguring fields
Where Documents Appear
- Completed documents are stored in Deel
- Worker-related documents appear on the worker profile
- Other storage depends on the workflow using the document
