You can create a workflow from scratch to trigger reminder notifications for things like upcoming time off, payroll review submission, and more.
Step 4 - Review Trigger
Even when using a pre-filled template, it is always a good idea to review the 'trigger' that will set off the notification. You can edit the trigger to be before or after a certain date, and when a specific conditions are met.
Examples below:
[ACCORDION] Happy birthday messages for workers
If you use the pre-filled birthday template to automatically send out a happy birthday message to workers in your organization, the default 'trigger' is the actual birthdate.
But you can easily change the 'trigger' to send the birthday greeting on the date before the birthday.
Toggle on the custom date and specific condition bar, and select the condition (before, or after) and number of days.
You'll also want to edit the email header and message, and perhaps add in your organization's logo or custom buttons.
[ACCORDION] Reminder when an employee's probation is ending
Clients can also set up notifications for direct managers when a worker's probationary period is about to end.
For example, if a new employee has a 90 day probation period, you may wish to set up a notification 5 days before the probationary period is ending.
To do this, select the Onboarding - Worker Start Date template and click the pencil icon to edit the trigger.
Toggle on custom date and conditions, and change the condition to After start date, and type in the number of days.
If you wish to have a 5 day advance notice that a 90-day probation period is ending, then type in 85 days.
For your action event, you can choose to send an email, or send a Slack message, or even automatically initiate a Deel Engage probation review cycle.

Step 5 - Review the action event
The action event will happen after the 'trigger' occurs, and will be how the notification is actually sent out.
Many of the pre-filled templates will default to an email action item.
But you can update the action item by clicking the plus ( + ) button and selecting additional action events.
- Sending an email
- Sending a Slack message to a public channel
- Sending a Slack message to a private channel
- Creating an Engage review cycle
- Create a task and assign it to someone else (it will be visible on the assignee's home page)
Clients can also add delays, allowing them to send a series of tasks and emails over a chosen period.
Step 6 - Publish and Activate
Review the notification and message details.
For example, you may wish to personalize the happy birthday message or add a custom button.
Once you are ready to publish the workflow, click Continue and then click Publish.
How to create a custom workflow from scratch
Step 1- Select the Automation icon, then click Automation
Step 2- Click New workflow
Step 3 - Click start from scratch
Step 4 - Select trigger
Add the trigger event that starts your automation.
For example, you can add a time off start date trigger that will notify selected teams when a worker is off.
Step 5 - Select action event
Once the 'trigger' date or event is reached, choose your action.
Common examples include sending a message to a specific Slack channel or user, sending an email, or adding a task for a worker that will appear on their Deel home page to review.
Step 6 - Add the action event details
For example, if you are sending an email then fill out the header and message for the email.
If sending a Slack message, write the message and select the channels.
Step 7 - Publish and Activate
Once you are ready to publish the workflow, click Continue and then click Publish.
